**PRIVACY NOTICE FOR THE PROCESSING OF PERSONAL DATA**

(“NOTICE”)

The Artificial Intelligence Policies Association (“AIPA” or “Association”), located at Ankara Technology Development Zone, Universities District, 1606th Street, Door No: 4/B, Cyberpark Cyberplaza B Block, Ground Floor No: BZ11, 06800 Bilkenk Çankaya/Ankara, as the Data Controller, will hold the AIPA Summit (AI Tomorrow Summit 2024) online via the website https://aitomorrowsummit.com and with physical attendance at Bilkent Hotel. As you have applied for either online or physical attendance preference, we would like to inform you about the processing of your personal data that we will carry out in case of your application and participation in the summit.

AIPA is committed to processing and protecting your personal data in compliance with the Law No. 6698 on the Protection of Personal Data (“KVKK”) and its secondary regulations (“Personal Data Legislation”). This Privacy Notice is designed to ensure that the processing activities conducted by AIPA are in line with the principles set out in the KVKK.

For the purposes of this Privacy Notice:
“Processing of personal data” refers to any operation performed on personal data, whether entirely or partially automated, or not, including collection, recording, storage, retention, alteration, disclosure, transmission, transfer, acquisition, making available, classification, or use of data.

B. PURPOSES AND LEGAL BASES OF PROCESSING YOUR PERSONAL DATA
Your aforementioned personal data is processed by the Association, based on the legitimate interests of the data controller, with the aim of organizing the AIPA Summit (AI Tomorrow Summit 2024) while not harming your fundamental rights and freedoms, for purposes such as organizing the summit, publishing audio, photo, and video recordings on the Association's corporate websites and social media accounts, informing participants via SMS and email channels, and processing opinions and personal data provided by participants who voluntarily participate in the summit satisfaction survey.

C. RECIPIENTS TO WHOM YOUR PERSONAL DATA MAY BE TRANSFERRED
Your personal data may be transferred within the scope of the purposes stated in Article B of this Privacy Notice, and related and limited to these purposes, in accordance with the provisions of the Law, to:

Arkadyas Bilişim Haizmetleri San. Tic. A.Ş., located at ITU Maslak Campus Arı Technopolis ARI 4 Maslak Sarıyer/İstanbul, for system infrastructure and support,
Kuantum Araştırma ve Danışmanlık A.Ş., located at Sütlüce Mah. Karaağaç Cad. No:20/1 Beyoğlu/İstanbul, for the summit satisfaction survey conducted by participants who voluntarily participated,
And to authorized public institutions and organizations and private legal entities upon request.

Video and photographs taken during the event will be shared with the public on social media platforms owned by the Association, such as those provided by the following companies:

D. METHODS OF COLLECTION AND LEGAL BASIS FOR PERSONAL DATA
Your personal data is collected electronically (through registration and participation in the summit via https://aitomorrowsummit.com) or by physical attendance through ticketing or notification of your participation by your institution, in connection with the stated purposes and in compliance with the provisions of Articles 5 and 6 of the KVKK. Your personal data is processed for the following purposes, among others, in accordance with the provisions of the KVKK:

• Organization of registration procedures for the AIPA Summit (AI Tomorrow Summit),
• Sending SMS and emails for informing you about the summit, evaluating the summit, and announcing activities of AIPA on corporate websites and social media platforms owned by the Association.

Any additional data from you, beyond the personal data requested by the Association, would mean your voluntary disclosure of that data. The Association shall not be responsible for the data disclosed by you voluntarily. Your personal data is processed in compliance with the personal data processing conditions specified in Articles 5 and 6 of the Personal Data Protection Law. In this context, your personal data is processed based on your application for participation.

E. YOUR RIGHTS REGARDING PERSONAL DATA
Pursuant to Article 11 of the Personal Data Protection Law, you have the rights to learn whether your personal data is processed, request information if your personal data has been processed, learn the purpose of processing and whether it is used appropriately, know the third parties to whom your personal data is transferred domestically or abroad, request correction of any incomplete or inaccurate data, request deletion or destruction of your personal data within the framework of the conditions stipulated in the Personal Data Protection Law, request notification of the transactions made pursuant to these requests to third parties to whom your personal data has been transferred, object to the occurrence of a result against you through analysis of your personal data solely by automated systems, and request compensation if you suffer damage due to unlawful processing.

F. METHODS FOR EXERCISING RIGHTS RELATED TO PERSONAL DATA
You may exercise your right to apply regarding your personal data within the scope of Article 11 of the Personal Data Protection Law by submitting your request along with identity verification documents and your petition containing your request. Your application must include the following information specified in Article 5(2) of the Regulation on the Procedures and Principles of Applying to the Data Controller:

a) Name, surname, and if the application is in writing, signature,
b) Republic of Turkey identity number for Turkish citizens, nationality for foreigners, passport number or, if any, identity number,
c) Residence or workplace address for notification,
d) If any, e-mail address, telephone and fax number for notification,
e) Subject of the request.

AIPA will conclude your application requests, in accordance with Article 13 of the Personal Data Protection Law and the Regulation on the Procedures and Principles of Applying to the Data Controller, free of charge within 30 (thirty) days at the latest, depending on the nature of the request. However, if the transaction requires an additional cost, a fee may be charged in accordance with the tariff determined by the Personal Data Protection Board. In case of refusal of the request, the reasons for refusal will be notified to you in writing or electronically with their justifications. You can submit your request to the Association in writing to the address Ankara Technology Development Zone, Universities District, 1606th Street, Door No: 4/B, Cyberpark Cyberplaza B Block, Ground Floor No: BZ11, 06800 Bilkenk Çankaya/Ankara, in person or through a notary or by e-mail to info@aipaturkey.org.

This Privacy Notice may be updated by the Association due to legal obligations, Association policies, or when deemed necessary. In case of an update, information regarding the update will be published on the https://aitomorrowsummit.com website.
